Lobby Receptionist/HR Assistant

Essential Functions:

Functions as the lobby receptionist and overall support staff for the HR department and agency. Performing general clerical duties; Interacts with all levels of management, providing excellent customer service and resolution to staff, clients and vendors.

Lobby Receptionist Responsibilities:

  • Answer multi-line telephone system, directing calls to the appropriate person(s), take messages and provide accurate information in response to inquiries
  • Greet and direct all visitors, including vendors, clients, job candidates, customers and notify the appropriate person of his/her arrival and maintain log for all guests
  • Process incoming and outgoing mail
  • Perform a variety of other administration tasks as directed by leadership team; this could include faxing, emailing or assisting other departments in need of help
  • Responsible for maintaining a clean and safe reception area
  • Other duties as assigned

Human Resources Assistant Responsibilities:

  • Maintain employee personnel records in accordance with compliance standards
  • Generate reminders via HRIS system for updates to employee CPR and Medical Reports
  • Process verification of employment for staff
  • Assist with the coordination of new employee orientation and agency events
  • Participate in the rotation of coverage for lobby receptionist
  • Other duties as assigned

Qualifications:

  • Self-motivated, punctual, and well organized
  • Outstanding oral and written communication skills
  • Good working knowledge of computer systems, such as Microsoft Word, Excel and Outlook
  • Emotional maturity- Ability to be calm, courteous, and professional when dealing with client/guest
  • Ability to present a positive image of the organization to members of the community
  • Must have effective organizational, problem solving, and time management skills
  • Ability to learn and comprehend information from Procedures Manuals and other materials
  • Ability to perform responsibilities under pressure or emergencies
  • Positive attitude and successful experience working as an effective member of a team
  • Respect for children and adults from various cultures and backgrounds, flexibility, patience
  • Social media and website management skills a plus

Job: Part time position

Education: 

  • High School Diploma

Experience: 

  • 1-year experience in a clerical, receptionist or switchboard position
